Annual Report of The Council for 2003

KENT ARCHAEOLOGICAL SOCIETY ANNUAL REPORT OF THE COUNCIL FOR 2003 The Council of the Society presents its one hundred and forty-fifth report and statement of accounts for the year ending 31 December 2003. The Society is established to promote the study and publication of archaeology and history in all their branches, especially within the ancient county of Kent. The Society's activities are carried out throughout the ancient county of Kent. It has no staff and its officers are only paid out-of-pocket expenses. It co-operates with its affiliated societies and the organizations to which it is affiliated or of which it is a member. In particular it co-operates with the Canterbury Archaeological Trust in promotion of education. Its activities are carried out by the Council, committees and officers. REVIEW OF THE YEAR Annual General Meeting: The Society's annual general meeting was held at Tonbridge on Saturday 17 May 2003 when the Council's annual report and the accounts for 2002 were accepted and Messrs. Reeves and Neylan were re-appointed auditors. The officers and members of the Council were elected; details are set out below under Legal and Administrative Information. Following the business meeting Mr C. R. Pout gave a presentation on the work of the Fieldwork Committee which was well received and it is hoped that other committees will make similar presentations at future AGMs. In the afternoon Or Derek Renn gave a lecture New Light on Kent Castles. Fieldwork: Excavation of the Roman villa site at Abbey Farm, Minster-in-Thanet continued under the direction of Keith Parfitt and was attended by 35 members. The excavation revealed a second bath house, what appears to be a fourth-century sunken building and a Bronze Age settlement enclosure. Resistivity surveys were carried 439 ANNUAL REPORT out at six sites using the Society's equipment and liaison with metal detectorists included a display at the National Metal Detecting (Southern Region) Conference. Work continued on archiving records of excavations that had not been written up. Publications: Volume CXXIII (2003) of Archaeologia Cantiana was published and maintained its usual high standard and wide range of papers. Further substantial progress was made in preparing An Historical Atlas of Kent. Work continued on several possible records publications and thought was given to a publication to mark the Society's 150th anniversary in 2007. It was disappointing that no applications were made for grants from the Kent History Fund. Churches: The popular visits to churches continued with three half-day visits to small groups of churches. The Ideas and Ideals series in the Newsletter, which is promoted by the Churches Committee, continued. A grant was made towards the cost of the Canterbury and Rochester diocesan survey of historic churches. Library and collections: The new web site (www.kentarchaeology.ac) was expanded to provide on-line access to the catalogue of the Gordon Ward archive as well as the Society's books and visual records catalogues. The main web site ( www. kentarchaeology. org. uk) continued to expand with the addition of transcripts of medieval and Tudor wills, lists of place-names and Roman Pottery of Kent by R. J. Pollard. The web sites brought a lively exchange of queries and views from members and non members world-wide. Cataloguing the Gordon Ward collection of papers on Kent towns and villages was completed and a similar exercise started with the Hussey files of genealogical and family history material. This has only been achieved because of the hard work of the Library volunteers. The Hon. Curator dealt with enquiries from researchers and members of the public. Education: The Education Committee continued to support the work of the Canterbury Archaeological Trust's Education Service whose work again included the visits programme at The Big Dig at Whitefriars, Canterbury which welcomed 12,700 visitors including 700 from schools and colleges. The Committee supported the National Archaeology Day event at the Museum of Kent Life organised by North Downs Young Archaeologists Club which was attended by over 300 people. The laptop computer provided for Valley Park Community School was installed in its new archaeology museum which was opened during the year. 440 ANNUAL REPORT Place-names: The Place-Names Committee continued to work on ways to promote interest in the study of place names and support research. A lecture by Dr Paul Cullen was a 'sell-out' and plans were made for a study day on place-names in 2004. Membership: The Society welcomed 110 new members during the year and ended it with a membership of 1,641, a small net reduction of 11 on the previous year. Activities for members: A summer social evening in May took place in glorious weather. Members visited Great Chart church and had a tour of the medieval Godinton House, followed by supper. The traditional Christmas social lunch at the Hop Farm Country Park was enjoyed again and following a musical entertainment members visited Dukes Place, West Peckham. These were financially self-supporting like all social events. The ever popular five-day excursion was to the Wye Valley and the Welsh Marches. The winter series of lectures was supplemented by the lectures in the Society's library and the successful day conferences in conjunction with Canterbury Christ Church University College were continued with one in May on 'Church & Monastery in Anglo Saxon & Medieval Society'. Fifteen members responded to a questionnaire in the Spring Newsletter and several of them are now taking an active part in the work of the Society. Relations with other bodies: The Society appoints members or representatives to a number of other organisations. Regular reports have also been received from the CBA South-East and the Standing Conference on London Archaeology. There was a further meeting of representatives of the county archaeological societies in southern England which provides a useful forum to discuss matters of common interest and learn about what other societies are doing. The Society has regularly been represented at meetings of the Kent History Federation. REVIEW OF FINANCIAL ACTIVITIES AND AFFAIRS The accompanying financial statements for the year ended 31 December 2003 show the current state of the Society's finances which its Council considers to be sound. They comply with the Council's understanding of the current statutory requirements and the requirements of the Society's rules. 441 ANNUAL REPORT Investments: The trustees seek, in the management of their investments, a balance between income and capital growth. The Finance Committee oversees the management of the Society's investments. The portfolio, managed by Laing and Cruickshank Investment Management Ltd, decreased by 9.3% from £880,998 to £962,530 and currently yields 3.9%. The C.O.1.F. investments, which currently yield 3.8%, increased in value from £57,898 to £64,326. Reserves: The Council budgets each year to spend a sum considerably in excess of current income and tries to maintain reserves appropriate to allow this to continue. The Society relies on its officers and other members giving their time freely to organise its activities. Without those contributions it would have to spend a substantial sum on salaries. Allen Grove Local History Fund: The Society administers the Allen Grove Local History Fund which was given in the will of the late Allen Grove. Its objects are to promote research, preservation and enjoyment of local history. These objects are consistent with those of the Society. It is a restricted fund and is invested separately from the Society's other investments. In accordance with the terms of the legacy, decisions on how the fund is to be spent are taken by the Society's officers. During the year five grants totaling £1,050 were made towards the costs of producing publications on local history, oral history and preserving local records. LEGAL AND ADMINISTRATIVE INFORMATION The Society is a charity registered with the Charity Commission under number 223382. It is an unincorporated association governed by its rules which are published in Archaeologia Cantiana from time to time and copies of which can be obtained from the Hon. General Secretary. It is also registered as a charity with the Inland Revenue which has made a direction under section 201 of the Income and Corporation Taxes Act 1988 which permits certain members (generally those whose employment is related to the Society's activities) to obtain income tax relief on their subscriptions to the Society; further details can be obtained from the Hon. General Secretary. The principal address of the Society is The Museum, St Faith's Street, Maidstone, Kent, ME14 lLH. However, correspondence should be addressed to the relevant officer.
